Terms & Conditions - Thunderbird Mind & Soul (TBMS)

By scheduling or purchasing a service with Thunderbird Mind & Soul, you acknowledge and agree to the following terms:

1. Nature of Coaching

Thunderbird Mind & Soul provides personal growth and resilience coaching. Coaching is a collaborative process intended to support self-awareness, personal development, resilience, clarity, and intentional action. Coaching is not psychotherapy, counseling, medical treatment, crisis intervention, legal advice, financial advice, or diagnosis of any mental or physical health condition. The client remains responsible for their own decisions, actions, well-being, and results.

2. No Guaranteed Results

Coaching outcomes vary from person to person. Thunderbird Mind & Soul does not guarantee specific personal, emotional, professional, financial, relationship, or health outcomes. Progress depends on many factors, including the client’s participation, honesty, effort, circumstances, readiness, and application between sessions.

3. Client Responsibility

The client agrees to participate honestly, communicate relevant concerns, and take responsibility for determining whether coaching is appropriate for them. The client may decline any exercise, question, or topic and may end a session at any time.

4. Mental Health and Emergency Support

Coaching is not appropriate for emergencies or situations requiring immediate mental-health or medical care. If the client is experiencing a mental-health crisis, danger to self or others, abuse, or another emergency, they should contact emergency services or an appropriate licensed healthcare professional.  Thunderbird Mind & Soul may recommend that a client seek support from a licensed professional when a concern appears to fall outside the scope of coaching.

5. Confidentiality

Information shared during coaching will be treated respectfully and kept private to the extent reasonably possible. Confidentiality may be limited when: disclosure is required by law; there is a credible concern involving imminent danger to the client or another person; abuse or neglect must legally be reported; the client provides written permission to share information; payment processors, scheduling platforms, email providers, or other service providers require limited information to deliver services. Coaching communications should not be considered legally privileged in the same way that communications with an attorney or licensed psychotherapist may be.


6. Scheduling and Attendance

Clients are responsible for attending sessions at the scheduled time and ensuring they have a private, stable, and appropriate environment for video or telephone coaching. Sessions begin and end at the scheduled times. A late arrival may result in a shorter session and does not necessarily extend the appointment.

7. Cancellations and Rescheduling

Please cancel or reschedule at least 24 hours before your appointment. A session canceled or rescheduled with less than 24 hours’ notice, or missed without notice, will count as a used session and will not be refunded or replaced. Thunderbird Mind & Soul may make an exception for an emergency.

8. Payments and Refunds

Payment is due according to the terms shown at checkout. Completed sessions and sessions counted as used under Section 7 are nonrefundable. If a client ends a coaching package early, the refund for unused sessions will equal the amount paid for the package minus the package’s per-session price for each session used. The package’s per-session price is the amount paid divided by the number of sessions purchased. Refunds will be issued to the original payment method. Any payment-processing fee that the processor does not return may be deducted from the refund. 

9. Coaching Packages 

Any package expiration date will be shown at checkout before payment. If no expiration date is shown, the sessions do not expire. Packages may not be transferred to another person without written approval from Thunderbird Mind & Soul. 

10. Veteran Integration Benefit 

The applicable offer will state which package qualifies, how many complimentary integration sessions are included, and when those sessions must be used. The benefit begins after completion of the qualifying package, has no cash value, and may not be transferred or substituted. Visual verification of veteran status may be requested; clients should not email sensitive military or identification documents. 

11. Technology and Online Sessions 

Online coaching may involve risks such as connection failures, interruptions, or unauthorized access despite reasonable precautions. The client is responsible for using a private location, secure device, reliable internet connection, and headphones when appropriate. If technology prevents a meaningful session, the parties may reschedule at the discretion of Thunderbird Mind & Soul. 

12. Communication Between Sessions 

Email or text communication may be used for scheduling, brief follow-up, or administrative matters. These channels are not monitored continuously and should not be used for emergencies or urgent mental-health concerns. Unless expressly included in a package, extensive coaching between sessions is not included.

13. Respectful Conduct 

Both parties agree to communicate respectfully. Thunderbird Mind & Soul may end a session or coaching relationship because of harassment, threats, discriminatory abuse, repeated boundary violations, intoxication, nonpayment, or conduct that makes continued coaching inappropriate or unsafe. 

14. Termination of Coaching 

Either the client or Thunderbird Mind & Soul may end the coaching relationship. Any remaining payment or refund issues will be handled according to the applicable package terms, refund policy, and services already provided. 

15. Intellectual Property 

TBMS exercises, written materials, frameworks, graphics, and educational content are for the client’s personal use. They may not be copied, published, sold, taught, distributed, or used commercially without written permission. 

16. Limitation of Responsibility 

The client understands that coaching involves personal reflection and decision-making and accepts responsibility for choices made during and after coaching. To the fullest extent permitted by law, Thunderbird Mind & Soul will not be responsible for indirect, incidental, or consequential losses arising from the client’s decisions, actions, relationships, employment, finances, or use of coaching services. 

17. Agreement 

By completing the booking or purchase, the client confirms that they have read and understood these terms, have had the opportunity to ask questions, understand the distinction between coaching and licensed healthcare, voluntarily agree to participate, and are at least 18 years old.
